Context
The founder was running 40+ concurrent client accounts out of email threads and three disconnected tools. Status was a guess, renewals were last-minute, and at-risk accounts were only visible after they churned.
Problem
No single source of truth for account health. No early-warning signals. The founder was spending 12+ hours a week assembling status manually, and still missing things.
Build
- Mapped every signal — calls, tickets, usage, invoices — into one Airtable schema with health scoring.
- Built a Notion command center that surfaces only what the founder needs to act on today: at-risk accounts, renewals in 30 days, blocked implementations.
- Automated the data pull and the daily brief via Make.com + a GPT-4 summarizer.
- Trained the founder and one VA on the cadence: 10 minutes a day instead of 12 hours a week.
Takeaway
The system wasn't the interesting part. The discipline of deciding what the founder should and shouldn't see was.
